LAE Madrid Terms and Conditions
Please read carefully before signing up for a course:
1.1. Students who enroll in any course at LAE Madrid classes accept our Terms and Conditions.
1.2. The student acknowledges that all the personal information in the application form is valid and correct.
1.3. The student must inform LAE Madrid of any medical condition that may affect his/her class attendance or the work of other students in the group (disabilities, allergies and if your course includes welcome lunch, etc. any specific dietary requirements).
1.4. The student commits to behave in a respectful and professional manner with their professors and colleagues during their stay in LAE Madrid. Should that not be the case, the student will be expelled and will not be refunded.
1.5. Intensive and Semi-Intensive classes have morning and afternoon schedules. LAE Madrid reserves the right to place students in the group which most appropriately corresponds to their level. Class schedules may be subject to change.
1.5.1. Timetable preferences should be communicated by the students when booking but cannot be guaranteed. The student acknowledges that their class schedule may be subject to change.
1.6. There are no classes on bank holidays. There will be additional classes or cultural activities during the week to make up for it. Please see the list of bank holidays below.
1.6.1. On the weeks with one bank holiday, the rest of the classes that week will finish an hour later to make up for that day.
1.6.2. On the weeks with 2 festive days, we will remain open a minimum of 4 days and the rest of the classes that week will finish an hour later to make-up for the missed time.
1.7. LAE Madrid reserves the right to change the student’s class if the level in which he or she is assigned isn’t appropriate.
1.8. Course price does not include travel costs, food and drink or tickets charged by third parties (such as museums, stadiums etc).
1.9. In the exceptional case, there is only 1 student enrolled in a particular level, the number of classes will be reduced to 40% of the total number and 80% if there are only 2 students enrolled.
1.10. The student promises to arrive on time to the classes and to inform the school in advance if they cannot attend a class.
1.11. The LAE Madrid students have the right to:
- receive a complete, quality training by our teaching staff
- receive all the agreed upon services at the moment of their registration in the school
- use the school grounds freely, always respecting the furniture and established office hours
- use the technical resources and materials available in the school
- use our suggestion, complaint and claim services if necessary.
1.12. The classes of the Evening Spanish Course could be recovered if the students inform us by email with at least 24 hours notice, otherwise the student will miss the class without any make-up option.
1.12.1. With a 24 hours email notice students can make-up up to 2 classes per month. Groups may be subject to change due to excessive absences.
1.13. The individual classes (PowerHours) could be recovered if the students inform us by email with at least 24 hours in advance, otherwise, the student will miss the class without any make-up option. The student who doesn’t cancel within 24 hours should pay the total amount for the class.
2.1. The accommodation will be booked for one day before the student’s course starts to one day after the course ends. If the student wants to come earlier or leave before those designated times, then they should let the school know and an alternative solution may be found.
2.2. If any items break, the student(s) will be charged to replace that/those item(s). If there is no direct person responsible for the damage, the cost of repairs will be equally divided among the students sharing the apartment.
2.3. If a serious disciplinary offense occurs or if a student shows repeated bad behavior, the student will be evicted with no possibility of being refunded.
2.4. If a student decides to postpone or cancel his/her classes, the accommodation cannot be cancelled under any circumstances.
2.5. LAE Madrid reserves the right to change their students’ accommodation if necessary.
2.6. There will be a deposit payment of 60€ for the accommodation in shared flats and host families. This deposit must be paid with a credit or debit card on the first day of school. When the accommodation stay comes to an end and LAE Madrid has received the keys, and has confirmed that there were no damages, the deposit will be reimbursed to the same credit or debit card.
2.6.1. Part or all of the deposit can be forfeited if the accommodation is not left clean and tidy, the student caused loud disturbances, and/or if he or she damaged any furniture or installation in the apartment.
2.6.2. The deposit will be reimbursed in a period of less than one week after departure.
2.7. It is necessary to make a one-month deposit in order to reserve accommodation in a student residence. This deposit will become the deposit for the accommodation and will be returned in the same payment method that the student used in a period of less than 7 days after departure.
2.8. LAE Madrid does not guarantee the ability to offer the type of accommodation that the student applied for in the case of the reservation having been made within one week or less before the start of the course.
2.9 If a student is not satisfied with their accommodation, they may submit a request for a change of the assigned accommodation, explaining why they want to be reassigned and what they need different in their future accommodation. LAE Madrid will look into the case, and if necessary, will look for another accommodation with the same characteristics as previously stated in the contract. If the student desires to change the needs and request different characteristics, then the student would be charged for the price difference. This change request may only be submitted once.
2.10 Unless the student is legally considered a minor in the country of Spain, the host family will not be held liable
3.1. Medical insurance:
3.1.1. EU countries are insured by the state accident and illness insurance. The student should apply for the European Health Insurance Card (EHIC) from their local insurance office before traveling.
3.1.2. Students who are not EU citizens will need to apply for an international health insurance policy that is valid in Spain.
3.1.3. LAE Madrid highly recommends that all students verify that they have appropriate liability insurance that will cover them in case of a presented claim against them. Every student that stays with a host family or shares an apartment is required to have a policy.
3.2. LAE Madrid is insured for accidents and liability which covers possible incidents and minor accidents in the school.
3.3. Personal property: LAE Madrid is not in any way responsible for missing or damaged objects or properties in the school or in its accommodations.
4. PERSONAL DATA PROTECTION
In compliance with Spanish Law 15/1999, December 13, regarding the protection of personal data, LAE Madrid would like to inform you that your personal details within these general conditions will be stored in a database (whose liability and responsibility is Totally Toptastic S.L.), solely for the commercial and operative purposes of the company. By accepting these Terms and Conditions you give your consent to the above said treatment and for their use for the aforementioned purposes. You have the right to request that we inform you of your rights to access, correct and cancel such information within the established terms of the prevailing legislation, by writing to the address: Calle Montesa 35, esc. izquierda, 2 izquierda. 28006, Madrid, España .
5. STUDENT VISA
5.1. The Enrollment Confirmation Letter can ONLY be issued by the school upon receipt of the upfront payment of 1000€ or the entire cost of the course and accommodation (depending on the student’s country of origin).
5.2. Once AIL Madrid has received the required upfront payment, the invitation letter (certifying enrollment) will be sent to the student by email and post, if requested. If the student would like to have the Enrollment Confirmation Letter sent by courier (such as DHL), the student must pay for these costs in advance.
5.3. Refunds cannot be issued to students who have requested and been issued with Enrollment Confirmation Letters which could be used for visa or visa renewal (NIE) purposes except in the case of visa or NIE denial. In such cases, all amounts paid will be refunded except a 200€ administration charge. The refund will be made upon presentation of an official rejection letter from the Consulate or Extranjería that clearly states the student’s name, passport number and the type of visa / renewal requested (appropriately dated, signed and stamped). No refund will be given for courses already taken.
6. ADMISSIONS OR EXPULSIONS
6.1. The student should report prior to admission all relevant information that could affect his/her ability to complete the course. Not reporting all relevant information can result in expulsion from the program. LAE Madrid is not responsible for the suspension of the course in the case that the student hasn’t reported any and all relevant information.
6.2. If the student is forced to leave the course for undeclared medical reasons, the student will be forfeit any right to receive a refund or a placement for the course, nor for accommodation.
6.3. If the student arrives and neither the student now or his/her agency has paid in for full for the course, accommodation, and other contracted services, LAE Madrid reserves the right to cancel the student’s classes.
6.4. LAE Madrid reserves the right to accept students 17 years old or younger.
6.5. If there are serious, repeated disciplinary problems, inappropriate behavior, or infraction of Spanish legislation, the student will be expelled from the school and the contracted accommodation with LAE Madrid, without the right to any refund.
6.6. All expenses incurred by LAE Madrid, which originate due to the aforementioned incidents and caused damage or injury to third-parties, will be paid for by the student, who will not have any right to a later refund.
7. REDUCTION OF COURSES AND CANCELLATION
7.1. Cancellation(s) of the course(s) before the student(s)’ arrival will be accepted only if received in writing (via e-mail). Written evidence of the cancellation is necessary, as cancellations via telephone will not be accepted.
7.1.1. If the cancellation is made more than two (2) weeks prior to arrival, a deposit of 100€ will be forfeited.
7.1.2. In the case of cancellations made within two (2) weeks of arrival, the total amount of the course and accommodation will be forfeited completely.
7.2. Cancelation(s) and change(s) of the schedule of the class after the beginning of the course will be accepted only if received in writing (via e-mail). Written evidence of the cancellation is necessary, as cancellations via telephone will not be accepted.
7.2.1. A 24 hrs notice is required for the individual class (Hower Hour) and Evening Course cancelation.
7.2.2. Intensive Course classes can only be rescheduled if the Customer Care Team is informed in writing (via e-mail) 4 days in advance and the student must attend a minimum 10 hrs per week to participate in a group.
7.2.3. Days missed for illness must be supported with Doctor’s note if canceled within the normal 24 hour limit to make-up the missed time.
7.3. In no instance will money that has been paid for a course or accommodation be refunded after the course has started.
7.4. All refunds will be made within 15 days after the request, by bank transfer to the student’s account or the account of whoever paid (payments to another account or person are not valid).
7.5. In the case of cancellation, the prices for LAE Madrid will be applied. For example, if by reserving a place on the course, the student has received a discount owing to the course duration, this will be forfeited with the cancellation.
8. CONDITIONS OF PAYMENT
8.1. In order to reserve a place on the course, a minimum deposit of 235€ is necessary, or the full price if total is less than 235€. The rest of the cost should be paid in full on the first day of the course. If a full payment is not made, LAE Madrid can cancel the reserved program and the student will not have the right to a refund.
8.2. For more information concerning payment methods, details on bank commissions and credit card transaction supplements, see point 8 or section “Payment Methods of LAE Madrid”.
8.3. Personal checks will not be accepted.
8.4. LAE Madrid will not be responsible for printing errors or third-part publication errors concerning LAE Madrid.
9. PAYMENT METHODS
The course and housing can be paid for by any of the following payment methods:
- Credit cards. The student will provide LAE Madrid with the details of his/her card, the charge will be made and a receipt will be sent to the student. This option is subject to a 2% tax for the transaction, which will be covered by the student’s account.

*The student should put first and last name and “LAE Madrid” in the transfer comments section and consider the possible bank commissions. LAE Madrid should receive the complete deposit and is not responsible for the bank commissions.
- In cash. Coming in person to the school and paying in cash.
Unless refused by the student upon arrival, LAE Madrid reserves the right to use all possible photographs taken during the student’s participation in the course.
Any reservation or payment confirms the acceptance of these terms and conditions.
LAE Madrid is not obligated to reimburse money paid or compensations for lost classes due to national or local holidays. LAE Madrid does offer students the opportunity to make-up Please consult our webpage or ask for a current list of holidays, remember that these are subject to change.
13. DISCOUNTS OR CREDIT NOTES
13.1. Discounts cannot be combined. All have expiration dates and will only be applicable when the student meets the requirements at the time of matriculation. Any discount available after the first registration will not be valid.
13.2. Credit notes are only valid for 12 months from the start date. Once this 12 month period has finished, the student will lose the right to this credit.
14.1. See points 6 & 7 (Cancellations)
14.2. Refunds will only be made or money will only be transferred to the students that have reserved a course (or tutors, or those who paid for the reservation). No refunds will be given to a third-party.
15.1. “Friends and Family” Discount: In order to have the right to a “friends and family” discount on courses offered at LAE Madrid, 2 people need to register and attend the same course at the same time. The discount applied to Part-time courses is 1 week free or 10% off. The valid discount on all other courses is 10% off the course price. The student should indicate the name(s) of the “friends and family” student in the registration form. At the moment of registration, LAE Madrid will automatically apply the one week free or 10% discount on Part-time classes or the 10% off discount for the other courses on the invoice. In the case that the aforementioned rules are not followed to obtain the “friends and family” discount, LAE Madrid will not give the discount and will give a revised invoice upon arrival in Madrid.
15.2. Discount Recommendation: If a student recommends the school to another person and this person enrolls in one of our Spanish courses at LAE Madrid due to his or her recommendation. This must be a new student and unknown to the school. The student who recommended the school will get a free week of a Part-Time Spanish course.
15.3 European Youth Card: If the Student owns the European Youth Card/Madrid Youth Card he or she will receive a 15% discount for Intensive Spanish courses, and a 10€ discount for all Part-Time courses
15.4. Promotional offers: In order to be valid, these should be communicated to LAE Madrid at the time of reservation.
16.1. LAE Madrid does not assume any responsibility in cases of force majeure (according to the law) or for student actions.
16.2. The student confirms that within cases of emergency, LAE Madrid has permission to be in contact with the listed emergency contact. The student confirms that these details are correct and that they are current, and promises to notify LAE Madrid with any possible change to these details.
16.3. LAE Madrid reserves the right to cancel classes if there are not enough students in each class
